When we open a file we need the details of the property, the people and the dates in writing. That used to mean a form in the post, a pen and a trip in. Now you can do it from the couch, sign it with your finger and send it to us in one go.

Selling a property

Vendor Instruction Sheet

For the person whose name is on the title. Your answers are what we build the vendor statement from, so this is the form that gets a sale moving.

  • Who is selling, and how the names appear on the title
  • The property, the agent and the dates you are working to
  • Rates, water, land tax and any owners corporation
  • Tenants, if the property has them, and what stays with the house
  • How you would like to be kept up to date

Buying a property

Purchaser Instruction Sheet

For the person buying. It tells us who is on the contract, what you have signed and who your lender is, so nothing waits on a phone call we could have avoided.

  • Whether it is your first home, an investment or off the plan

Why online

It saves you the trip, and it saves the handwriting

The paper version of this form has been the same for years: we email it, you print it, you fill it in, you scan it or drive it in, and somewhere in there a date gets misread or a page goes missing. The questions here are the same questions. What changes is that you answer them on the device already in your hand, at whatever hour suits you.

You can stop partway and come back. Your answers are kept in the browser you are using until you send the form, so a phone call or a flat battery does not cost you the lot. Sensitive answers and your signature are never kept that way.

When you send it we hold a complete copy of the form exactly as you filled it in, signed and dated, together with anything you attached. That is the record we work from, and it is the same record you would have signed across the desk.

How it works

  1. 1 Answer the questions A few short steps rather than one long page. Skip anything you do not know yet and tell us so in the box for it.
  2. 2 Attach what you have Rates notice, contract, identification, whatever you have been sent. A clear photo of a page is fine.
  3. 3 Sign on the screen Draw your signature with a finger, a stylus or the mouse, type your full name and tick the declaration.
  4. 4 Send it You get a reference number on the screen. We get a note that it has landed, and we read it from behind our login.

Your information

Encrypted on arrival, and never put in an email

An instruction sheet carries more about you than anything else you will send us. Names and dates of birth, bank details for the proceeds, a tax file number in some cases. So the form does not treat it like an enquiry.

Everything you submit is encrypted the moment it reaches the server, including the documents you attach and the signature you draw. It is stored outside the part of the site the web can reach, and it is read by our staff through a password-protected area. Your answers are never written into an email, to us or to anyone else. The only message that leaves the building says that a form has arrived and who it is from.

If the encryption is not available for any reason the form refuses the submission and asks you to ring us instead. It will not quietly store your details in the clear.

Straight answers to the usual questions

  • Is signing on a screen alright? Yes, and it is how most conveyancing documents are signed now. You draw your signature, type your full name and tick a declaration that the answers are true and that you authorise us to act on them. All three are kept with the form.
  • What if I cannot draw a signature? Then type your name and tick the declaration. That is what the form actually checks. The drawn signature is captured alongside it, not instead of it.
  • Can I still have it on paper? Of course. Ring us and we will post you a printed copy, or sit down with you at the office on High Street and go through it together.
  • Do I have to do it in one sitting? No. What you have typed stays in your browser until you send the form. Your signature and anything marked sensitive are never kept that way.
  • Who fills it in when there are two of us? One sheet covers both of you. There is room for a second vendor or purchaser, and the person filling it in signs at the end.

We will never email you to say our bank details have changed

Payment redirection fraud is the one way buyers and sellers lose large sums in property. Someone gets into an email account, waits until settlement is close, then sends a message that looks exactly like one of ours with new account numbers on it. Money sent to those accounts is very hard to get back.

Our bank details do not change. If you ever get an email, a text or a call telling you they have, do not act on it and do not reply. Ring us on 0450 016 397, the number on this page rather than any number in the message, and check with a person. Nobody has ever annoyed us by checking.
