Vendor Instruction Sheet

This is the same instruction sheet we have always used on paper, filled in and signed on your phone or your computer instead. Answer what you know, leave what you do not, and call the office about anything that is still unsettled.

Step 1 of 19

Vendor 1

The first owner named on the certificate of title. Names need to match your identity documents exactly.

Only if the property is owned by a company. Otherwise leave this blank.

Only if someone is signing for you under a power of attorney. Please attach the original power of attorney, or a scan attested by the relevant authority.

Every middle name in full, as it appears on your identity documents.

If you see a plain box instead of a calendar, type the date as YYYY-MM-DD, for example 1968-04-23.

You do not have to type this here. If you would rather not, leave it blank and phone it through to the office instead. Anything you do enter is stored encrypted, and it also appears on the PDF copy we email you at the end, so give us an address only you can read.

The property

An estimate is fine. If the property is seven years old or less, please attach the building permit, the occupancy permit and the warranty insurance if you have them.

Lender and mortgage

Please attach a copy of a recent loan account statement, which carries most of these details.

Leave this blank if there is no mortgage over the property.

Westpac statements show a customer number as well as the loan number, and the discharge needs both.

Banking

Do you have a nominated contact person or branch for business banking matters? (optional)

Bank account

This is the account the balance of the deposit and any excess settlement funds are paid into, after all loan funds are paid out at settlement. Please check every digit before you move on.

We will never email you to say our bank details have changed. If you ever get an email like that, even one that looks like it came from us, call the office before you send any money.

Building works and owner builder

Have you, or a registered practitioner, completed any refurbishment, renovations, additions or other significant work in the past six years? (optional)

For example electrical work, plumbing, restumping, extensions, garages, pergolas or fences.

An approximate date is fine, for example "March 2022".

Did you obtain any permits from the council or another authority in the last six years for those works? (optional)

If yes, please attach full copies.

Were those works completed as an owner builder? (optional)

For works valued at $16,000 or more, please attach a copy of the domestic building warranty insurance.

Have you obtained an owner builder inspection report? (optional)

If you have not, one will be needed at your own additional expense. Please contact our office to discuss it.

Are there any solar panels? (optional)

If yes, please attach any related documents.

Pool or spa

Is there a pool or an outdoor spa? (optional)
Have you registered the pool or spa with your council authority, under the regulations that began on 1 December 2019? (optional)

Please attach a copy of your application.

Have you received confirmation of the pool or spa registration back from the council? (optional)

If yes, please attach a copy of the letter that notes the due date for the first compliance certificate.

Have you obtained a final inspection or compliance certificate from your private building surveyor? (optional)

If yes, please attach a copy of the final inspection or compliance certificate.

Tenancy and owners corporation

Is there a tenant in the property? (optional)

If yes, please attach a copy of the lease. It forms part of the section 32 statement.

The name, address and contact details of the agent managing the tenancy.

These four numbers are printed on the certificate of title. If you cannot lay your hands on it, leave them blank and we will order a title search.

Auction

Should you decide to sell your property at auction, please advise this office one month prior to the scheduled auction date, to allow sufficient time for the relevant certificates to be ordered on your behalf.

Attach copies of whichever of these apply to your sale.

What to attach, if it applies to you

Not all of these will. Send the ones you have and leave the rest — we will tell you if anything is genuinely needed, and you can email it through later.

  • Current council rates notice (the assessment for the full year)
  • Most recent water bill (front and back pages)
  • Land tax assessment notice
  • Current lease
  • Owners corporation invoice and details
  • Latest loan statement showing the customer number and the loan number or loan ID
  • Any permits or notices from the council
  • Home owners warranty insurance
  • Occupancy permit
  • Proposed plan of subdivision
  • Council notification of registration of the pool or spa
  • Any documentation regarding solar panels
  • Original power of attorney document, or a scan attested by the relevant authority

A clear photo taken on your phone is fine, it does not have to be a scan. If something is not to hand right now, send the rest and email the last piece in later rather than holding up the whole form for it.

Up to 20 files, each up to 15 MB. PDFs, photos, Word and Excel files all work.

    PDF, JPG, PNG, WEBP, HEIC, Word or Excel. Up to 20 files, 15MB each and 50MB altogether. Anything you attach is encrypted as soon as it reaches us, and it is never passed on by email.

    Where we send your copy

    We email you a PDF of everything you have filled in, so you have your own record.

    We send the completed form to this address as a PDF.

    A partner, co-purchaser or your broker, if you would like them to have it.

    The PDF is a complete copy of this sheet. It includes everything you have entered, including your tax file number, your bank account details and your loan number if you filled those in. Send it only to an address you control, and keep it somewhere safe once it arrives.

    Check and sign

    Please read back over your answers using the steps above. When you submit this sheet it goes straight to a conveyancer at the office, encrypted, and a PDF copy of everything on it goes to the email address you gave on the previous step.

    Your signature

    Sign in the box with your finger on a phone or tablet, with a stylus, or with the mouse on a computer. If drawing is difficult, type your full name underneath and tick the declaration. Those two are what we treat as your signature either way.

    A conveyancer reads this, not an auto-responder. You will get a reference number on the screen as soon as it arrives.

    If your property is subject to an owners corporation (formerly a body corporate), we will need to apply for an owners corporation certificate on your behalf. That certificate takes between 7 and 10 business days to be received, at which point we can finalise your section 32 statement.

    Should you decide to sell your property at auction, please advise this office one month prior to the scheduled auction date, to allow sufficient time for the relevant certificates to be ordered on your behalf.
